Translingua: ÖNORM EN 15038 re-audit on 15 May 2009 - Feedback

As one of the founding members of the iQTSP (International Network for Quality Translation Service Providers) association, which was established in Austria in May 2009, translingua holds the view that not only quality certifications but also continuous re-audits are extremely important. ÖNORM EN 15038 certification is an excellent opportunity for translation providers to stand out positively from their competitors, particularly at the present time when the market continues to expand and the choice of the right supplier grows ever more confusing for the customer. The quality seal is also an important indicator which offers guidance for customers wishing to make the right decision when it comes to selecting the best translation supplier.

Based in Graz and Vienna, the translingua translation agency has been a quality certified company since April 2004. In the meantime, the former ÖN 1200 standard has evolved into EN 15038, today’s benchmark norm. This hallmark of quality has now been awarded to translingua for a further two years after the company successfully passed its second re-audit.

In the course of an entire day set aside for the re-audit on 15 May, Mr Mohamed-Ali Ibrahim from the Austrian Standards Institute was personally satisfied that translingua continues to deliver ‘excellent work in compliance with the due diligence criteria stipulated by ÖNORM.’ The audit carefully scrutinised the daily work processes which take place at translingua. These included a complete translation order, which was analysed from the point of initial order acceptance through to placement with a qualified translator, right down to dispatchment of the completed translation to the customer. The standard sets out clear guidelines regarding the choice of translator, the proofreading process and consideration of various formal requirements, particularly in the field of project management. Further matters which were addressed in the course of the audit included the acquisition of new translators, the way project managers dealt with ‘extraordinary’ situations and the regular monitoring of customer satisfaction levels.

‘Admittedly, preparing for re-certification every two years certainly involves a lot of work,’ commented Dr. Brigitte Meßner, managing partner of translingua, ‘but even so we’re entirely convinced that such audits are necessary. They force you to work continuously on improving your in-house procedures and to monitor routine processes with regard to their everyday usefulness. At the end of the day, all this is always to the benefit of customers who gain from the enhanced quality of the translation they place with us. The fact that our processes comply with the industry’s benchmark standard plays an important role in this case.’

Fox Coffey KEG, Vienna - Austria, recertified according to EN 15038

Mr. Roy Fox, managing director of Fox Coffey KEG, Vienna - Austria, wrote the following testimonial:

A re-audit in the midst of a major reorganisation of our firm could have been a strain, but in fact it provided us with a useful structure for rethinking the way we run our business. Our auditor, Mr. Ibrahim was extremely supportive and the net result was a highly positive experience which generated genuine enthusiasm. We have come out of this process not just with recertification but also with internal documentation that we will soon be using to help new members of our team to understand their roles in the firm.

Many thanks again for your assistance, and for the progress this has helped us make.

We congratulate Arabize Localization Services in Egypt for obtaining the European Norm EN 15038

In demonstration of its continuous improvement and adherence to quality results, Arabize has achieved the EN-15038 European Quality Standard for Translation Services certificate in 2009 from the European Committee for Standardization. Unlike the general ISO 9001:2000 standard, the EN-15038 standard is exclusive to translation. It has specific directives defining the quality requirements for translation and localization providers. It covers all the stages of the localization process, starting from the project management and translation stages, up to the publication and quality control stages. The EN-15038 standardizes the procedures of each stage to ensure the highest level of quality and client satisfaction. Additionally, this European Quality Standard sets the qualification requirements for the human resources working in the localization field. Arabize has successfully passed the EN-15038 audit and became the first localization company in the Middle East to obtain both the ISO 9001:2000 and the EN-15038 certificates.

Arabize was founded in 1994 as an independent privately held localization company located in Egypt. The company was created since a felt need arose in the market for an Arabic localization provider. Today, Arabize offers a full range of professional localization and content services, from simple text translation to complete solutions of complicated long-term projects including: engineering, digitization, terminology management, linguistic QA, functional testing, desktop publishing, content preparation and development, and portal management. Applying the highest levels of quality standards in all the stages of work, Arabize achieved the official ISO 9001:2000 certification in 2005.

Growing Past EN 15038 – What Your Translation Firm Should Incorporate to Compete

By Karen Sampson

Now that translation standards have been strengthened through EN 15038, passing the competition can mean maintaining other levels of professionalism.
So your firm has received the coveted EN 15038 denoting the fact that they have a high quality of service and proven practices to offer translation services. Is that enough to make you a real competitor in the market place? Well, the answer is maybe. Competition will always continue to grow and that growth can weed out those who aren’t willing to go the extra mile for their clients. Here are some things new clients are looking for that you may want to consider as well.

Specialization

It’s no secret that clients with significantly unique or specialized documents are looking for professionals to do the translation who have knowledge in that field. Does your firm know its place in the market, have they researched the field to know where the gaps in specialization lie? It’s one thing to have specialized translators who know engineering inside and out, but if the marketplace is full of translating engineers you may be shooting yourself in the foot to add them to your repertoire.
Knowing where the new gaps are means the difference between being the first one called or getting left behind in the dust. Got some room to grow? If you’re a large firm you may want to consider developing an entire department to constantly focus on new fields of specialization that require your talents. Whether it is entertainment law or molecular cellular biology, the paradigm is always shifting and those shifts open gaps that you could be the first to fill.

Native Speakers

Without meaning to ostracize those who have learned the art as a second language, let’s look at a serious concern of more and more clients today: Do you employ native speakers? In today’s market it is almost impossible to do high level work without them. Subtle customary idiosyncrasies can take lifetimes to learn and that’s why you should consider this point a positive requirement for future hires.
It can save you from embarrassment or it could save you from bankruptcy. Does that mean you should fire most of your non-native born staff and start anew? Certainly not. But it may mean that you need to reevaluate your arsenal and confirm that everyone you employ is filling a position best suited to their capabilities. If not, some tweaking may be in order.

Easily Overlooked: Software

It can be easy to overlook but are you sending out documents that your clients can read in the current format of software? Follow this simple rule if you are unsure: Always err on the side of the latest update. That means if there is a newer version of software available you will want to obtain it and put it into effect. Although many companies are using older versions that are updated electronically to match configurations of the newer versions, the last thing your company wants to be labeled as is ‘out of style.’

Congratulations on the successful Re-Audit EN 15038: Abu-Ghazaleh Translation, Distribution, and Publishing, Cairo

By Mr. Ramadan Ahmed, Translation Manager of Abu-Ghazaleh Translation, Distribution, and Publishing in Cairo - Egypt - Some of the benefits we gained through the certification according to EN 15038:
  • Due to acquiring and maintaining the EN15038 certificate, we were able to transact with big firms and authorities, such as agents who are seeking certified translations and they are now satisfied with the stamp of the European norm.
  • As soon as our website reflected the obtaining of EN15038, some organizations and authorities, such as the American embassy in Cairo, contacted us to participate in international forums & committees and asked for our translation services.
  • We improved our working system in accordance with the norm, which feedback was more easy work and high quality outputs.
  • The EN15038 led to many translators all over the world applying to cooperate with us, we received many of their C.V's of them.
  • We modified our translation tests and improved the requirements those translators must fulfill in order to comply with EN15038,so our translators produce high quality levels of translation in different fields.

Successful: Re-Audit of "Viewpoint" in accordance with EN 15038

Feedback:
Practically speaking, Viewpoint's smooth modus operandi, which goes in parallel with its risk management concepts and its quality assurance system, is formulated in conjunction with its commitment to reliability, on the one hand, and certain authorities (Theqa’t in Arabic), on the other.
One of those authorities is the sublime Austrian Standards Institute (Österreichisches Normungsinstitut-ÖN in German) and its quality and controls orientation offered throughout its auditing/ re-auditing procedures, conducted by its professional Lead Auditor in the Middle East & Turkey.

The quality added during the last re-audit cannot, by any means, go without mention regarding the precision level of the thorough verification through and through, the positive feedback, and recommendations that were 100% for all the involved parties in the industry.
Bahaa Raslan
